Position Title: Fair Manager
Reports To: Uxbridge Fair Board of Directors
Position Type: Volunteer (with possibility of honorarium, as determined by the Board)
Time Commitment: Year-round; workload increases significantly in the 3 months leading up to the Fair and during Fair weekend.
Role Summary
The Fair Manager is responsible for the overall coordination and delivery of the Uxbridge Fair. Working closely with the Board of Directors, Committees, and volunteers, the Manager ensures that all aspects of the Fair run smoothly, safely, and in line with the Fair’s mission of celebrating agriculture, community, and tradition.
The Fair Manager is the central organizer who brings together people, resources, and plans to deliver a successful annual event.
Key Responsibilities
Leadership & Coordination
– Serve as the main point of contact for Fair operations year-round.
– Support and coordinate the work of Fair Committees and volunteers.
– Work with the Board to implement Fair policies, procedures, and strategic goals.
– Attend Board and Committee meetings as required, providing updates on planning and operations.
Planning & Operations
– Develop and maintain the annual Fair operations plan and timelines.
– Coordinate permits, insurance, licensing, and compliance with regulations.
– Oversee site preparation, logistics, and scheduling in collaboration with Grounds and Operations teams.
– Liaise with suppliers, vendors, and contractors.
– Manage crisis and risk management planning in coordination with the Board.
Financial & Administrative Support
– Assist the Treasurer and Sponsorship Committee with budgeting, contracts, and reporting.
– Ensure agreements with vendors, entertainers, and service providers are documented and fulfilled.
– Maintain accurate records, files, and operational manuals for continuity year-to-year.
Community & Public Relations
– Act as a spokesperson and ambassador for the Fair, when delegated.
– Build and maintain relationships with community partners, sponsors, and service providers.
– Support Fair promotions by providing information to the Marketing Committee and responding to public inquiries.
Fair Weekend Duties
– Be present on-site throughout the Fair as the primary operations lead.
– Provide leadership and support to volunteers and committee chairs.
– Troubleshoot issues quickly and effectively to ensure a safe, smooth event.
– Ensure sponsors, guests, and dignitaries receive agreed-upon recognition and hospitality.
Skills & Qualifications
– Strong organizational and leadership skills.
– Excellent communication and interpersonal abilities.
– Ability to manage multiple priorities and deadlines under pressure.
– Experience with event management, project management, or community leadership (preferred).
– Knowledge of agricultural fairs, rural traditions, or community events is an asset.
– Basic computer proficiency (email, spreadsheets, word processing).
