The Uxbridge and Scott Agricultural Society is seeking a highly organized and detail-oriented individual for the position of Fair Secretary. The Fair Secretary plays a vital role in ensuring the efficient administration and record-keeping for the Society.

Key Responsibilities:

  1. Administrative Oversight: Look after the efficient administration of the Board, ensuring that all Board business is implemented consistently and thoroughly.
  2. Correspondence and Record-Keeping: Responsible for all correspondence and maintaining accurate records of meetings, including resolutions, motions, and decisions made by the Board.
  3. Document Management: Ensure that essential records, such as annual reports, financial statements, and Independent Examiners’ reports, are properly maintained and organized.
  4. Meeting Coordination: Notify all Directors and Board representatives of upcoming Executive and Board Meetings, ensuring timely communication of essential information.
  5. Additional Duties: Perform any additional duties as prescribed by the Board, contributing to the Society’s overall success and smooth operation.

Qualifications:

  1. Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  2. Strong written and verbal communication abilities, with a keen attention to detail.
  3. Proficiency in computer applications, including word processing, spreadsheets, and email.
  4. Experience in taking comprehensive meeting minutes and maintaining accurate records.
  5. Ability to work independently and collaboratively with Board members and stakeholders.

Compensation:

This position is compensated with an honorarium as approved by the Board.

Additional Information:

  • The Board of Directors appoints the Fair Secretary position.
  • Remuneration will be provided as approved by the Board.
