Fair Secretary Position
The Uxbridge Scott Agricultural Society (Uxbridge Fair) is seeking a highly organized and detail-oriented individual for the position of Fair Secretary. This role is ideal for someone with a flexible schedule who can work independently while contributing to the success of our community fair.
Time Commitment:
This position requires approximately 2 hours per week during the off-season, increasing to more hours during fair season. Specific commitments include:
- Board meetings: Once every 2 months (approximately 2 hours each, including preparation and minutes)
- Executive meetings: Once every 2 months (approximately 2 hours each, including preparation and minutes)
- One District meeting or Ontario convention per year
- Fair weekend: Approximately 8 hours on-call to assist as needed
- During the three weeks before the fair: Additional hours supporting exhibitor entries
- Email and phone duties: Flexible schedule with 4-hour response time for calls, 2 days for emails
Key Responsibilities:
- Administrative Oversight: Ensure efficient administration of the Board and consistent implementation of Board business
- Correspondence and Record-Keeping: Handle all correspondence and maintain accurate meeting records, including resolutions, motions, and decisions
- Document Management: Maintain essential records such as annual reports, financial statements, and Independent Examiners’ reports
- Meeting Coordination: Notify all Directors and Board representatives of upcoming meetings with timely communication
- Fair Support: Be available during the fair weekend to assist with administrative needs
- Additional Duties: Perform duties as prescribed by the Board to support the Society’s operations
Qualifications:
- Excellent organizational and time management skills
- Strong written and verbal communication abilities with keen attention to detail
- Proficiency in computer applications (word processing, spreadsheets, email)
- Experience in taking comprehensive meeting minutes and maintaining accurate records
- Ability to work independently
- Own laptop required
- Agricultural fair experience preferred but not required
Position Details:
- Compensation: $1,800 annual honorarium
- Appointment: Annual appointment by the Board of Directors, beginning at the Annual General Meeting
- Meeting attendance: In-person meetings scheduled well in advance
- Training: Handover provided by the previous secretary
- Work style: Independent role with flexible email/phone schedule
